This Privacy Policy explains how Organic AI Business Solutions™ ("Organic AI," "we," "us," or "our") collects, uses, shares, and protects information in connection with the Hermi™ AI concierge service and the website at organicai.online (collectively, the "Service"). By using the Service, you agree to the practices described here.
1. Who we are

2. Information we collect
Information you provide
- Pilot and contact requests: your name, email address, business or practice type, and any details you submit through our forms.
- Conversations with Hermi: messages, questions, and any information you type or speak to the Hermi concierge widget.
- Communications: emails and messages you send to us directly.
Information collected automatically
- Basic technical data such as IP address, browser type, device information, and pages visited, used to operate and secure the Service.
- Bot-protection signals (e.g., Cloudflare Turnstile) used to prevent automated abuse of our forms.
3. How we use your information
- To respond to pilot requests, contact you, and provide the Service.
- To operate, secure, and improve Hermi and the website.
- To send you transactional messages (such as confirmations and follow-ups about your request).
- To comply with legal obligations and enforce our Terms of Service.
We do not sell your personal information.
4. Service providers we use
We rely on trusted third-party providers to deliver the Service. These providers process data on our behalf and are bound by their own privacy and security commitments:

We do not place your clients' data on a shared public AI platform; conversation data is handled through the dedicated infrastructure described above.
5. AI processing
Hermi uses AI models to interpret and respond to conversations. Inputs you provide may be processed by these models to generate responses. We instruct our AI providers to act as processors on our behalf and do not authorize them to use your conversation content to train their general models, to the extent their terms allow.
6. How we share information
We share information only: (a) with the service providers listed above; (b) when required by law or to protect rights, safety, and security; or (c) in connection with a business transfer (such as a merger or acquisition), with notice where required.
7. Data retention
We keep personal information only as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. You may request deletion of your information at any time (see Section 9).
8. Security
We use industry-standard safeguards including encryption in transit, encrypted storage, secret management via Azure Key Vault, and access controls. No method of transmission or storage is perfectly secure, but we work to protect your information consistent with reasonable industry practice.
9. Your rights and choices
Depending on your location, you may have the right to access, correct, delete, or restrict use of your personal information, and to object to certain processing. To exercise these rights, email hello@organicai.online. We will respond consistent with applicable law.
10. Children's privacy
The Service is intended for businesses and is not directed to children under 16. We do not knowingly collect personal information from children.
11. International users
We operate from the United States. If you access the Service from outside the U.S., your information may be transferred to and processed in the U.S. and other countries where our providers operate.

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above and, where appropriate, by additional notice.
